Demo Unit Acceptance: From Demonstration to Delivery

Why Formal Acceptance

Demos are carefully staged: freshly calibrated, fully serviced, expert presenters. Acceptance confirms the unit you receive meets the same standard — and builds your evidence file for any quality dispute.

The Acceptance Flow (a copyable template)

  1. Arrival check: packaging, serial vs contract, accessory inventory.
  2. Power-on self-test: boot report, interlock tests (cut cooling and try firing; non-original handpiece ID).
  3. Energy test: meter every setting, compare with the factory calibration report (tolerances written into contract).
  4. Stability: 30-60 minutes continuous — first/last energy spread and water temperature.
  5. Cooling: measured window temperature and recovery time.
  6. Function sweep: every handpiece/mode; read fault logs to confirm a clean build.
  7. Sign-off: bilateral acceptance sheet with test data; defects remedied on a deadline.

When to Negotiate It

Put acceptance criteria and methods into the purchase contract — not at delivery. That is the only way acceptance has teeth. Test methods per the parameter guide.

FAQ

“Factory-tested already” — still test?

Yes. Factory inspection proves it passed when built; acceptance proves the unit that traveled and arrived — neither substitutes for the other.

What if acceptance fails?

Per contract: remediation and re-test, replacement or return. Which is exactly why the clauses must exist before delivery — acceptance without terms is theater.
